Policies

Deposits: To reserve items, a 50% deposit of the total balance due is required.  Deposits are non-refundable and holds the equipment for your event date
 
Rental Period: The one-day rental rate is good for pick up the day prior to the event with return the day after the event.  Rental rates are per event.   Rental equipment is not to be transferred to others for use.  Any extension of the rental period will result in a pro-rated rental rate.  Rental rates are based upon time out, not time used. Late fees are accessed if items are returned later that the rental agreement terms.
 
Rescheduling:  In response to COVID, if there are changes after reserving, Epic will work with customers to apply the non-refundable deposit towards a rescheduled date or issue a credit for a future rental for one year from date of notice of change.  Credits are non-transferrable and do expire.

Cancellation Policy: Tents, Concession and select high-demand equipment will be subject to a cancellation fee of 50% of the cancelled item’s rental rate if cancelled less than 30 days to prior to the event. Modifications can be made up to 30 days prior to the checkout date without penalties.  All final changes and remaining payment are due 2 weeks prior to event date.  If items are removed or decreased upon pickup or delivery, the customer will still be charged 100% for the reduced items.

Cleaning Deposits:  Cleaning deposits on concession equipment are charged upon checkout and can be refunded back if equipment is returned cleaned.  Epic does ask all food service equipment, dishware, glassware, flatware be returned cleaned to protect the health of our staff while handling the product upon return. If this is not possible, a min cleaning fee of $25 or 15% of the total rental of the items needing to be cleaned will be charged upon close of the rental agreement.
 
Customer Pickup:  Customers can pick up items at our Eden Prairie location.  In response to social distancing, our staff will reach out to arrange a one-hour time slot for a pickup and return time slot. These are hours normally between 9 – 4:30pm Monday-Friday with limited Saturday hours during the summer. Customers can either choose to arrange for self-service or have our staff help load.  
 
We do ask if loading service is needed, customers please stay in their vehicles for curbside service or remain a minimum of 6 feet away.  Staff members will wear gloves and masks at all times while loading and unloading.  Please make sure to bring the appropriate items needed such as ropes or bungee ties to securing equipment.  We also suggest having blankets or coverings available to help protect the interior of vehicles. Epic is happy to help load, however we are not responsible for any damages to the vehicle during loading and unloading.  
 
Delivery: Our standard delivery charge is for both curbside drop off and pickup during business hours.  Curbside drop off includes delivery to the front of the garage or house area or where our delivery vehicles can back up and unload at the drop site.  Any requests for hauling to the backyard needs to be arranged with a sales associate.  If delivery is needed outside of normal operating hours, please call for rates.  Rates quoted will be based upon time needed for pickup or delivery, quantity of equipment needed, and if takedown or setup is required.  Please have that information available when asking for an after-hours delivery quote. Delivery areas are limited based upon service area.
 
Pickup Service: Prior to arrival, equipment needs to be, broken down and stacked  ready for pickup at the same location it was delivered to.  Any dishware and serving pieces needs to be cleaned and packaged prior to arrival.

Setup Services:  Time is valuable which is why Epic Event Rental offers setup and takedown services for an additional charge and limited based upon delivery area.

Permits:  A tent permit is issued by each city.  Fees and requirements will vary per city.  Please contact your local Fire Department or Building Department to inquire about tent permits.  Epic can handle filing tent permits for additional admin fees.
 
Gopher One: When digging or staking into the ground, Gopher State One Call needs to be notified.  Gopher One is a free notification system that notifies the public about underground utilities that may exist at the job site. Epic or the customer must contact Gopher One at least ten days prior to day of setup to schedule utility markings.  Schedule the event date 2 days prior to actual setup date.  Sometimes there can be delays of markings or rescheduling of setup dates based upon weather. 
 
Stakes used for securing a tent may accidentally hit a utility line such as gas, water or electric. It is the customer’s responsibility to make sure that it does not happen. Contact at 651-454-0002 or 800-252-1166 or go on line to gopherstateonecall.org to have your area surveyed.  Epic does provide complementary white marking flags to mark where the tent will be setup. We suggest marking the 4 corners of the tent. Customers can stop in Epic’s showroom and pickup flags during business hours.
 
If there is a sprinkler system, it is the customer’s responsibility to have the sprinkler lines marked.  Epic cannot be responsible for any puncture lines that were unmarked.
 
Damage Waiver: This covers the renter for accidental damage to the rental equipment. The damage waiver is not refunded back.  This damage waiver fee can be waived if the customer provides to Epic Event Rental a Certificate of Insurance from their insurer that shows Epic Event Rental named as an additional insured as well as showing coverage for Epic Event Rental up to the value of the unit being rented prior to possession of equipment.

Even with the Damage Waiver, damage or loss caused by burglary, theft, conversion, misuse, abuse, intentional or negligent damage or destruction, or similar causes remain the customer’s responsibility.
